This notice explains how WHAM Badminton Club handles personal information when you use whambadminton.co.uk or contact us through the website.

Who is responsible for your information?

WHAM Badminton Club is the controller of information supplied to the club through this website. For privacy questions or requests, email secretary@whambadminton.co.uk. You can also contact hello@whambadminton.co.uk.

What we collect and why

Our enquiry form asks for your name, email address, enquiry type and message. Your mobile number and playing experience are optional. We use these details to reply, arrange visits and discuss membership. Please avoid including medical information, payment details or other sensitive information in a general website enquiry.

We rely on our legitimate interests in responding to people who contact the club and running a friendly, safe badminton club. Where your enquiry involves steps you ask us to take before joining, we may also process information to take those steps before a membership agreement. You do not have to provide optional fields; without enough contact information, we may be unable to reply.

Hosting and security systems may process technical information such as IP addresses, browser details, request times and error logs to deliver and protect the website. This supports our legitimate interests in maintaining a reliable and secure service.

Who receives it?

Enquiries are handled through the club’s email service by committee members responsible for replying. IONOS provides website hosting and email infrastructure. Service providers may process information to operate these services. We may also disclose information when required by law or where necessary to deal with a legal claim.

How long we keep enquiries

Enquiries from people who do not become members are deleted within 12 months after the last contact, unless a specific legal or dispute-related reason requires longer retention. If you join, information needed to administer membership becomes part of the club’s membership records and is handled under the club’s applicable membership policies. Hosting logs and backup copies follow the relevant provider’s retention and backup arrangements.

Cookies and your choices

Cookies and similar technologies can store information on your device. WordPress may use necessary cookies when you log in or unlock the Members Area, including cookies whose names begin with wordpress_, wordpress_logged_in_ or wp-postpass_. These support requested access and authentication. Login-related cookies are not needed simply to read public pages.

Our cookie control stores wham_cookie_choice_v1 in your browser’s local storage to remember your selection for up to 180 days. This stores your preference and its date, rather than your name or email. If browser storage is unavailable or you clear it, you will be asked again.

Google Maps is optional and blocked until you allow it. After you accept optional maps, the embedded map loads automatically on later visits while your choice is remembered. Google receives information such as your IP address and may use cookies or similar technologies. Its processing can involve countries outside the UK; see Google’s privacy policy and cookie information for its purposes, retention and safeguards.

You can accept or reject optional content, or change your choice at any time using Cookie settings. Withdrawing permission stops the map loading and removes a currently displayed embedded map. It does not undo information already sent to Google; previously set Google cookies can be removed using your browser’s settings. Rejecting optional maps does not prevent you using the website, enquiry form or venue address.

External links and documents

Links to Facebook, Badminton Wales and external Google directions take you to services with their own privacy practices. Our normal Facebook link does not embed a Facebook feed. Club documents linked from the Members Area can be reached by anyone who has their direct file links; the page password does not make those PDF files private.

Your rights

Depending on the circumstances, you can request access to your personal information, correction, deletion, restriction or portability, and object to processing based on legitimate interests. Where we rely on consent, you can withdraw it. Contact the Secretary using the details above. We may need to verify your identity before releasing personal information.

You can complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint. We welcome the opportunity to address your concern first.

Changes to this notice

We will update this page if the website’s data use or optional services change. This website notice complements the club’s membership and safeguarding information; it does not replace those policies.
